Privacy notice
This notice explains how Reference Clinic EU ("we") handles personal data when you use the concierge chat assistant on this site. We are the data controller for that processing.
What we collect
The messages you type into the assistant; if you choose to book, enquire, or request a callback, the contact details you provide on those forms (such as name, email, phone) and the consent boxes you tick; and limited technical data (a per-visit session identifier, coarse request metadata) needed to run and secure the service. The assistant is not a place to enter clinical details you would not want stored — please keep sensitive information for a member of the clinical team.
Why we use it
To answer your questions and, where you ask, to arrange an appointment or pass an enquiry to the clinical team (to take steps at your request and to provide care); to keep a lawful record of any consent you give; and to keep the service secure and working (our legitimate interest, and our legal obligations). We do not use your conversation to make automated decisions about you.
Who can see it
Our clinical and administrative team, and the technology providers who host the service on our behalf under contract. We do not sell your data. Where a provider processes data outside the UK/EEA, we rely on appropriate safeguards.
How long we keep it
Enquiry and booking records are retained for as long as needed to provide care and to meet our legal and regulatory obligations, then deleted or anonymised. Operational and security telemetry is kept for a short period only.
Your rights
You have the right to access, correct, or erase your personal data, to object to or restrict some processing, and to withdraw a consent you have given (without affecting processing already carried out). To exercise any of these, contact the clinic. You may also complain to the UK Information Commissioner's Office (ico.org.uk).
